This privacy notice describes how Powerhouse processes personal data when you participate in the student pilot programme. It is placeholder text for partner legal review and must not be treated as final compliance documentation.

Who we are

The data controller identity, registered address, and privacy contact details will be confirmed by legal review before launch.

Until then, pilot questions may be sent to the Powerhouse team contact provided in your invite email.

What data we collect

Account data: email address, chosen language (English or German), invite validation metadata, and session identifiers for magic-link login.

Profile data: CV uploads, structured profile fields generated from your documents, optional voice interview transcripts and derived assessments, and your chosen participation level.

Usage data: onboarding step completion, coach message counts, voice session quotas, optional email preference toggles, and technical logs needed to operate the service securely.

Voice interview data: optional realtime audio is processed for profiling; transcripts and derived assessments may be stored. Raw audio retention policy will be confirmed in legal review.

Email preferences: optional career newsletter, product updates, and voice-completion reminders with unsubscribe links on every marketing message.

Consent records: timestamps, policy version, locale, and optional hashed IP for audit when you accept privacy terms or optional newsletter consent.

Why we use your data

We process data to create and maintain your candidate profile, deliver the student dashboard, run optional AI-assisted interviews and coaching, and honour your participation preferences.

Lawful bases (contract, consent, legitimate interest) will be confirmed in the legally reviewed version. Matching-related contact requires separate consent where applicable.

Processors and hosting

Infrastructure is hosted in the European Union on Zeabur. AI features may use OpenAI as a subprocessors — final processor disclosures and data processing agreements will be listed here after legal review.

Email for magic links and optional newsletters is sent through Zeabur Email or another ESP configured for the pilot.

Retention and deletion

Retention periods for CVs, transcripts, profiles, and consent logs are not final in this placeholder. Legal review will define specific periods and backup handling.

You may request account deletion from student settings once available. Deletion will remove or anonymise personal data subject to mandatory retention exceptions documented in the final notice.

Your rights

Depending on applicable law, you may have rights to access, rectify, erase, restrict, or port your data, and to object to certain processing.

Contact details for exercising these rights and for complaints to a supervisory authority will be added before release.

Changes

We will publish material updates to this notice and, where required, ask you to re-confirm consent. The version shown during onboarding is stored in your consent audit record.
